Import your vehicles

Import your fleet and create the vehicle import profile that Scheduled Routes reuses when the file layout stays the same.
Before you start
Have the vehicle file supplied by your operations team ready — CSV, XLS, or XLSX, one vehicle per row.
Need a starting file?
Download the Scheduled Routes vehicle template, then see the vehicle template and file reference for every required and optional attribute. Delete the template's Required * / Optional guidance row before importing it.
The two ways to import vehicles
Which one you use depends on whether a vehicle import profile already exists.

| Create a profile | Onboarding Fleet → Import Vehicles, or Data Setup → Manage Import Profiles → Vehicle Profiles → Import New Profile | No profile exists yet, or the file layout changed. Saving the profile imports the records at the same time — there is no separate import step. |
| Reuse a profile | Data Setup → Manage Data → Vehicles → Import Vehicles | A matching profile already exists and you're loading a fresh fleet file. This button can't be used before a profile has been created. |

Create the profile and import the fleet

On the wizard's Step 1 · Setup Data, find the Fleet card and select Import Vehicles. (Outside onboarding, go to Data Setup → Manage Import Profiles → Vehicle Profiles and select Import New Profile.)

On New Vehicle Import Profile, select Choose Vehicle File and choose the fleet file.

Confirm the profile name and review every proposed match in the mapping table. A typical CSV with vehicle name, capacity, shift start, and shift end columns maps like this:

Review Vehicle Preview below the mapping. Confirm the vehicle IDs, shift times, and capacities look like the source file.

If a match is wrong, choose the correct value in the Customer File Column field. Use the AI assistant panel to ask about a mapping, request a change, or work through a problem with the file — for example, a column the app couldn't interpret or values in an unexpected format.

Select Save Profile.
Saving imports the vehicle records at the same time. Your fleet is now available under Data Setup → Manage Data → Vehicles.
Confirm the saved vehicle profile

Open Data Setup → Manage Import Profiles and select Vehicle Profiles.

Select the saved profile and confirm its file name and mapping preview. Use Edit Mapping when the source columns change — the screen opens as Edit Vehicle Import Profile, and its save button reads Save Mapping.
Result
Your fleet is available under Manage Data → Vehicles, and future imports with the same layout reuse this profile automatically.
