Onboarding wizard walkthrough

The Onboarding wizard runs automatically the first time you sign in. It walks you through four steps to get your fleet set up and produce your first route plan. You can exit at any point and return later.

Step 1 — Setup Data

This step gets your fleet into the app and teaches it how to read your job file.

Setup Data is this wizard step. Data Setup in the left navigation is the separate screen for managing vehicles, contacts, recurring jobs, and saved profiles. The two are different places.

  1. Under Fleet, select Import Vehicles and choose your vehicles file (CSV, XLS, or XLSX) on New Vehicle Import Profile. The app reads the columns and suggests a mapping.
  2. Review the mapping — confirm that fields like vehicle ID, capacity, and shift times are matched correctly. If your file includes optional Start or End locations, review those mappings too. The AI assistant panel can help combine separate columns (for example, street + city + postal into a single address field).
  3. Select Save Profile. Saving the profile imports the vehicle records, and the Fleet card shows a Complete badge with the vehicle count.
  4. Under Daily Job File, select Import Sample Jobs and map a representative jobs file the same way, then select Save Profile.

Step is complete when: both the Fleet card and the Daily Job File card show Complete.

Step 1 imports your vehicle records and creates a job import profile — the reusable column mapping. It does not load the day's jobs. Those are imported in Route Planner, in step 2 below.

Step 2 — Route Planning

This step opens the Route Planner and runs your first optimization.

  1. Select Open Route Planner. The Route Planner opens with your vehicles loaded and your saved job mapping ready.
  2. On Import & Validate Jobs, confirm the Route date, then load the day's jobs — drag the file onto the drop zone or select Browse Files, review the staging panel, and select Validate & Import.
  3. Check that the job and vehicle counts look right, review the Needs attention card for any warnings, then select Continue to Strategy.
  4. On Choose Strategy, pick the approach that fits your operation — Minimize Travel Time, Minimize Vehicles Used, Balanced Workload Among Vehicles, or any custom strategy card configured for your account. Then select Run Optimization.
  5. On Review Route Plan, check the result: routes created, jobs optimized, and any unassigned jobs. Select View reasons to see why a job wasn't placed.
  6. When the plan looks good, select Continue to Export.

Step is complete when: you reach the Export Manifests screen.

What Dispatch mode is for

The Planning / Dispatch toggle in the Route Planner header appears here too. Planning is where you build and adjust the day's plan. Dispatch is for the operating day once the plan is out with drivers: you record how far each vehicle has actually got, add any late work, and reoptimize only what's left. See Dispatch mode.

Step 3 — Export Profile (optional)

This step lets you set up the one saved custom manifest layout for your company.

  1. Select New Profile and upload an example manifest file — the format you want the app to produce.
  2. Review how the app maps the optimized data to your file's columns.
  3. Confirm to save the custom export format.

Step is complete when: the custom export format is saved, or you skip this step if the built-in formats (PDF, Excel, CSV) are enough.

You can skip this step

Step 3 unlocks only after step 2 produces a route plan; until then it shows as Locked and Continue is unavailable. Once an optimization has run, the step is marked Optional — select Continue to move on without a custom format. You can create or update it later under Data Setup → Manage Export Profiles. Only one custom export format is stored at a time.

Step 4 — Finish

A summary screen confirms that your setup is complete. Select Setup Complete to close the wizard and go to the Dashboard.

What's carried over: your vehicles, saved mappings, and custom export format persist automatically. Tomorrow you only need to import the day's jobs.

Exiting and returning to onboarding

  • Exit early: Select Exit Onboarding at any point. The wizard closes and you land in the app.
  • While in the app mid-onboarding: an orange "Onboarding in progress — Return to Onboarding" banner appears at the top of every screen. Select it to jump back to where you left off.
  • Reopen later: Go to Help → Open onboarding in the left navigation.

You're done

You've set up your fleet, run your first optimization, and optionally configured a custom manifest format. Your vehicles and saved mappings are in place — daily planning from here is just importing today's jobs and exporting the manifest.
